The Role

We’re looking for a reliable and detail-oriented freelance bookkeeper to support our financial operations. This part-time role focuses on maintaining accurate financial records, managing vendor payments and client invoices, and ensuring our books stay organized and up to date.

You’ll work closely with our internal team to track receipts, reconcile transactions, and provide clear monthly financial reporting. The ideal candidate is highly organized, proactive in identifying discrepancies, and comfortable communicating directly with vendors and clients to resolve billing questions.

Responsibilities

  • Track and organize digital receipts provided by our team

  • Process vendor payments and client invoices in a timely manner

  • Communicate with vendors and clients (primarily via email) to resolve payment or billing questions

  • Reconcile transactions and maintain accurate financial records in QuickBooks Online

  • Provide monthly financial reports, including Profit & Loss statements and cash flow summaries

  • Prepare annual 1099 forms for freelance contractors based on company payment records

  • Flag inconsistencies, missing documentation, or discrepancies proactively

  • Maintain organized financial documentation for easy reference

Qualifications

  • Proven experience in bookkeeping (freelance or small business experience preferred)

  • Proficiency in QuickBooks Online

  • Strong organizational skills and exceptional attention to detail

  • Excellent written communication, especially via email

  • Self-starter who can manage their time and workload independently

  • Based in the U.S. and authorized to work as an independent contractor

  • Available for approximately 15 hours per month, with flexibility during heavier travel months

Nice to Have Qualifications

  • Experience in hospitality, travel, or service-based businesses
  • Familiarity with vendor contract management and payment schedules

Time Commitment

Approximately 10-20 hours/month

Compensation

$30–$50+/hour, depending on experience and skill set.
